Erasmus+


 
Erasmus Learning Mobility is carried out within the framework of the Standard or Extended Erasmus University Declaration and the bilateral agreements (within open quotas) of the higher education institution to exchange Erasmus. Learning mobility activity is a student who is registered in a higher education institution (whether Turkish citizens or not) carries out a part of his education in a higher education institution abroad, which is a partner with a bilateral agreement. The activity period covers a period between 3 and 12 months, which can be completed within the same academic year. The monthly grant amounts determined for learning mobility are determined according to the living standards of 27 EU countries.
 
APPLICATION REQUIREMENTS
There may be differences in the application requirements for each academic year. For this reason, current conditions are stated in the announcement text for the relevant academic year. However, the general principles are below.
 
The student must be at least a sophomore in the period of participation in the program & have at least 30 ECTS equivalent courses before graduation,
Having a cumulative grade point average (GPA) of at least 2.20/4.00 at the Associate/Undergraduate level and 2.50/4.00 at the Master's and Doctorate level.
 
Note: Students who will participate in the mobility must be full-time and have a course load that can follow 30 ECTS (ECTS) credits for the semester they will study.
 
APPLICATION DOCUMENTS
Pre-Application Form: It will be illustrated and signed. Before determining your preferences during the application, please get information about the university from the web pages of the universities you want to go to (such as the language of instruction at the university, the desired language level and course contents…)
Transcript (Current Transcript): English transcript will be obtained from the Registrar's Office.
 
EVALUATION OF APPLICATIONS
Evaluation; It is done as follows, based on the "Erasmus Foreign Language Exam" result to be held by the IGU-Foreign Languages Department and the GPA stated in the transcript.
 
Success Grade = GPA x 0.50 + Foreign Language Score x 0.50/department quota
 
In addition, the relevant issues described in the Implementation Manual and the national priorities determined annually by the Center are also taken into account.
A student can be an Erasmus student with a 12-month grant at all stages of his/her education life (associate degree, undergraduate, graduate, doctorate). However, "10 points" will be deducted from the total success points of students who have benefited from Erasmus activities before during the placement.
 
GRANT:
It is essential to provide monthly financial support to the students who will participate in the Erasmus Study Mobility for the period of study abroad. (according to the success of the student, there is a deduction by the institution). The file regarding the grant amounts is available on our page.
However, the support of the students who are entitled to participate in the program as a result of the evaluations with a grant depends on whether sufficient financial resources are allocated to our University. Students who cannot be allocated a grant may give up their right to participate in the program or choose to participate with "0 grants".
 
APPLICATION PROCEDURES OF PLACED STUDENTS
Before preparing the application forms, the student examines the web page of the university to which he / she will go, the academic calendar, the course schedule, the application dates, the required documents, etc. should have knowledge of the subject. For up-to-date information, the university's website should be checked. It is the student's responsibility to submit the documents on time.

A- Application Forms: The following documents will be submitted to our unit to be sent to the host university for application. Documents may vary according to each university. Forms must be filled in electronically. Please use the forms of the university you will attend. Forms not provided by the host university and documents requested by IGU are available on the "required documents" link on our website.
All application documents must be submitted to the International Relations Unit at least 10 days before the application deadline.
 
Application Form-Application Form: It is the Erasmus application form on the web page of the university you will host or sent to you by e-mail. It is taken online by some universities.
Learning Agreement-Learning Agreement: You should prepare this form, which shows the courses and credits you will take at the university you will be visiting, by consulting the department coordinator before you go. The total credits of the courses to be taken must be 30 ECTS. The forms are sent with the application documents .
Accommodation Form: It will be sent to you if the accommodation is provided by the university you will host.
Photograph: It will be given if requested by the university you will be visiting.
Photocopy of Passport: Erasmus students are only required to pay the book fee for the passport. You can get the text required to issue a fee-free student passport from our unit. Photocopy of passport should be given to our unit together with the application documents.
If your passport needs to be extended, apply to the Police Department, Passport Branch Office.
Curriculum Vitae (CV): It will be prepared upon request by the host university.
Letter of Intent (Motivation Letter, Letter of Intention): It will be prepared upon request by the host university.
Language Certificate: It will be given by our unit if requested by the university you will host.
B- Once accepted:
 
Copy of Acceptance Certificate-Letter of Acceptance: The acceptance certificate is sent by the host university to the address you provided in the application form or to our unit. In both cases, the original of the document will be given to the student and the photocopy will be given to our unit.
Health Insurance: It is obligatory to have full coverage health insurance. The insurance must be obtained through an internationally valid insurance company that can be used in the country where the training will be received and covers the mobility period. Some insurances cover the length of stay, but their commitments are 90 or 92 consecutive days. This type of insurance is not accepted. It is recommended that the policy covers outpatient and inpatient treatment and all transports. Since the amount of guarantee required may be different in each country, the conditions of the relevant country must be checked during visa procedures. In addition, a photocopy of the policy will be delivered to the International Relations Unit. It will be sufficient for students with SSI who will go to countries with a Social Security Agreement to obtain the relevant forms from SGK.
Copy of Passbook: A Euro account will be opened from any bank and a copy of the passbook will be given to our unit.
Visa Photocopy: After obtaining a visa, a copy of the page containing the visa in the passport will be given to our unit or scanned and sent to e-mail erasmusofisi@gelisim.edu.tr.
Contract: The contract to be prepared by our unit must be signed before leaving, one copy will be given to the student and one copy will remain in the student file.
OLS (Online Linguistic Support-Online Language Support) Exam: It is a compulsory exam for Erasmus+ students to take before their mobility as of the 2014-2015 academic year. This exam, prepared by the European Commission, will be held in 6 languages (English, German, French, Italian, Spanish and Dutch) determined by the commission, and the exam will be taken only in the language of study. Each university is given a certain number of licenses for the examination by the European Commission. These licenses will be distributed to the students who will definitely participate in the mobility by the university and cannot be used by anyone else.
License distribution is made by our Unit for students who have completed their procedures. After the license definition is made to the e-mail addresses of the student, an informative e-mail about the exam will be sent by the system. The exam must be completed by the deadline defined in the system by our unit. The exam is only for level determination and will not prevent you from participating in the mobility. It is aimed to determine the development of the student's language skills by conducting the exam before and after the mobility. Only the student and the sending institution can see the result obtained in the exam. As a result of the exam, the institution you will host will not be informed. One of the information you need to enter into the system before starting the exam is the start and end date of the Erasmus+ activity. The 2nd exam you need to take on your return will be taken after the end date you specified. For this reason, when writing the end date of the mobility, make sure that this date is the date you plan to return.
According to the exam result, students who are B1 and below are automatically defined by the system. You can take this course online for free during your studies. Students who get B2 and above can optionally take a course in the exam language or if one of the 6 languages specified is the language of the university they will study in, also in that language. Students who want to take an optional online course should submit their requests to our department in order to make the necessary license definition.
You will be able to take the exam in stages when you are available on your computer. There are questions difficulty depending on your level. So, depending on your answer for each question, the next question will be asked. Since the answers you give in the exam will determine your real level, the training will start according to this level. For this reason, it is important for the training you will receive that the answers you give belong to you. Students who do not complete the exam before the mobility cannot benefit from the mobility.
 
[2] AFTER YOU GO:
 
If the student who benefits from Erasmus activities makes any changes in the learning agreement prepared before starting his/her education, the "Learning Agreement Change Form (LA-Changes)" should be filled out and sent to erasmusofisi@gelisim.edu.tr with a signed letter in consultation with the department coordinator. [3] ON RETURN:
 
The following documents must be submitted to the International Relations Unit within 1 month at the latest after returning.
 
Certificate of Attendance / Letter of Confirmation: It is given by the university where you are a guest. If you want the original of this document to be with you, ask the other university to prepare this document in two copies.
Transcript: It is given by the university you are visiting. The University can forward this document to our unit through you or by mail.
Photocopy of Passport: The photocopy of the page(s) containing the entry-exit dates in your passport will be used in the grant calculation together with the participation certificate. After you return, a photocopy of your passport is taken by our unit. LA After Mobility Form: After returning, you need to prepare the "LA After Mobility" form according to your transcript and previous LA forms and send it to the International Relations Unit by e-mail.
OLS: You have to take the OLS exam that you took before you left, after you return. You will be automatically informed by the system to take this exam after the end of the mobility date you have written in the system during the first exam.
Final Report Form: It is the document that contains summary information about the Erasmus activity process and your evaluations when you complete the activity period. Available online since 2014-2015. After all your documents are completed, the necessary notification about the report will be sent to your e-mail address. You have to fill out the report online and approve it in the system.
Feedback Form: It is a form that includes your experiences and evaluations (passport, visa, travel, accommodation, etc.) during the process of going to the University you are a guest and during your education there. This form is important in terms of helping students who will go abroad in their next education period. It should be sent by e-mail to erasmusofisi@gelisim.edu.tr.
 
ACADEMIC RECOGNITION: Post-activity academic recognition is made for all credits received. The 6th page of the Learning Agreement Form is used for Academic Recognition. The document is sent to the relevant faculty/institute/school for the decision of the Board of Directors by UIB.
