Erasmus+
Erasmus Learning Mobility is carried out under the Standard or Extended Erasmus University Charter and within the framework of the bilateral agreements the higher education institution has concluded for Erasmus exchange (within the available quotas). Learning mobility is the completion, by a student enrolled at a higher education institution (whether or not a citizen of the Republic of Türkiye), of part of their studies at a partner higher education institution abroad under a bilateral agreement. The activity covers a period of 3 to 12 months that can be completed within the same academic year. The monthly grant amounts designated for learning mobility are determined according to the living standards of the 27 EU countries.
Application Requirements
Application requirements may vary for each academic year. Current requirements are therefore specified in the call announced for the relevant academic year. The general principles are as follows:
- The student must be at least in their second year at the time of participation, and there must be courses worth at least 30 ECTS credits eligible for equivalence before graduation.
- The cumulative grade point average (CGPA) must be at least 2.20/4.00 at the associate/undergraduate level, and at least 2.50/4.00 at the master's and doctoral levels.
Note: Students participating in mobility must be enrolled full time and must have a course load that allows them to follow 30 ECTS credits during the semester in which they will study abroad.
Application Documents
Preliminary Application Form: Must bear a photograph and signature. Before ranking your preferences during the application, please obtain information about the universities you wish to attend from their web pages (language of instruction, required language level, course contents, etc.).
Transcript (Current Grade Report): An English transcript must be obtained from the Student Affairs Directorate.

Evaluation of Applications
Evaluation is carried out by the IGU Department of Foreign Languages on the basis of the “Erasmus Foreign Language Examination” result and the CGPA indicated on the transcript, as follows:
Success Score = CGPA × 0.50 + Foreign Language Score × 0.50 / departmental quota
In addition, the relevant provisions set out in the Implementation Handbook and the national priorities determined annually by the National Agency are taken into account.
A student may receive an Erasmus grant for up to 12 months at each level of study (associate, undergraduate, master's, doctoral). However, 10 points are deducted from the total success scores of students who have previously benefited from an Erasmus activity during placement.

Grant
As a rule, students participating in Erasmus Learning Mobility receive monthly financial support for the period of study spent abroad (deductions may be applied by the institution depending on the student's academic standing). Grant amounts are available in the files section of our web page.
However, whether students who qualify for the program as a result of the evaluations can be supported with a grant depends on whether sufficient financial resources are allocated to our University. Students to whom a grant cannot be allocated may either waive their right to participate or choose to participate with a “zero grant.”

Procedures for Placed Students
Before preparing the application forms, students should review the web page of the host university and obtain information on the academic calendar, course schedule, application dates, required documents, and similar matters. The university's page must be checked for up-to-date information. Submitting the documents on time is the student's responsibility.

A – Application Forms: The documents below will be submitted to our office to be sent to the host university for application purposes. Documents may vary by university. Forms must be completed electronically. Please use the forms of the university you will attend. Forms not provided by the host university and documents required by IGU are available under the “Required Documents” link on our web page.
All application documents must be submitted to the International Relations Office at least 10 days before the application deadline.
Application Form: The Erasmus application form available on the host university's web page or sent to you by e-mail. Some universities accept it online.
Learning Agreement: This form, showing the courses you will take at the host university and their credits, must be prepared in consultation with your departmental coordinator before departure. The total credits of the courses to be taken must equal 30 ECTS. The forms are sent together with the application documents.
Accommodation Form: Will be sent to you if accommodation is provided by the host university.
Photograph: To be provided if requested by the host university.
Copy of Passport: Erasmus students are only required to pay the booklet fee for their passports. You may obtain the letter required for a fee-exempt student passport from our office. A copy of the passport must be submitted to our office together with the application documents. If your passport needs to be renewed, please apply to the Passport Branch Office of the Provincial Security Directorate.
Curriculum Vitae (CV): To be prepared if requested by the host university.

B – After Acceptance
Copy of the Letter of Acceptance: The letter of acceptance is sent by the host university either to the address you provided on the application form or to our office. In both cases, the original is given to the student and a copy is submitted to our office.
Health Insurance: Comprehensive health insurance is compulsory. The insurance must be obtained through an internationally valid insurance company, must be usable in the country of study, and must cover the entire mobility period. Some policies cover the length of stay but limit their commitments to consecutive periods of 90 or 92 days; such policies are not accepted. It is recommended that the policy cover outpatient and inpatient treatment and all medical transfers. Since the required coverage amount may differ by country, the requirements of the relevant country must be checked during visa procedures. A copy of the policy must also be submitted to the International Relations Office. For students covered by SGK (Social Security Institution) who will travel to countries with which a Social Security Agreement has been concluded, obtaining the relevant forms from SGK will suffice.
Copy of Bank Passbook: A euro account must be opened at any bank, and a copy of the account passbook must be submitted to our office.
Copy of Visa: After obtaining the visa, a copy of the passport page containing the visa must be submitted to our office, or scanned and e-mailed to erasmusofisi@gelisim.edu.tr.
Agreement: The agreement prepared by our office must be signed before departure; one copy is given to the student and one copy is kept in the student's file.
OLS (Online Linguistic Support) Examination: An examination that Erasmus+ students have been required to take before mobility since the 2014–2015 academic year. Prepared by the European Commission, the examination is offered in the six languages designated by the Commission (English, German, French, Italian, Spanish, and Dutch), and is taken only in the language of instruction. The European Commission grants each university a certain number of licenses for the examination. These licenses are distributed by the University to students who will definitively participate in mobility and cannot be used by anyone else.
Licenses are assigned by our office to students who have completed their procedures. After a license is assigned to the student's e-mail address, the system sends an informational e-mail about the examination. The examination must be completed by the deadline defined in the system by our office. The examination is for placement purposes only and will not prevent you from participating in mobility. Taking the examination before and after mobility is intended to measure the improvement in the student's language skills. Only the student and the sending institution can see the examination result; the host institution will not be informed of it. One of the pieces of information you must enter in the system before starting the examination is the start and end date of your Erasmus+ activity. The second examination, which you must take upon return, becomes available after the end date you specify. Therefore, when entering the end date of your mobility, make sure it is the date on which you plan to return.
Students who score B1 or below are automatically assigned a course by the system, which you may take online free of charge throughout your studies. Students who score B2 or above may optionally take a course in the examination language or, if one of the six designated languages is also the language of the host university, in that language. Students who wish to take an optional online course must notify our office so that the necessary license can be assigned.
You may take the examination in stages on your computer at your convenience. Question difficulty adapts to your level; that is, each subsequent question depends on your answer to the previous one. Since your answers determine your actual level, your course will start at that level; it is therefore important for your training that the answers you give are your own. A student who does not complete the examination before mobility cannot under any circumstances benefit from mobility.
Health Insurance: Comprehensive health insurance is compulsory. [2] During Mobility
If a student benefiting from an Erasmus activity makes any change to the learning agreement prepared before the start of their studies, they must complete the “Learning Agreement Changes Form (LA-Changes)” in consultation with their departmental coordinator and send it, signed, by e-mail to erasmusofisi@gelisim.edu.tr. These are pages 4 and 5 of the Learning Protocol (detailed information is available on the “Documents and Files” page).
[3] Upon Return
The documents below must be submitted to the International Relations Office within one month of return at the latest.
Certificate of Attendance / Letter of Confirmation: Issued by the host university. If you wish to keep the original yourself, ask the host university to prepare the document in two copies.
Transcript: Issued by the host university, which may deliver it to our office through you or by mail.
Copy of Passport: A copy of the passport page(s) showing entry and exit dates will be used, together with the certificate of attendance, in calculating the grant. A copy of your passport is taken by our office after your return.
LA After Mobility Form: After your return, you must prepare the “LA After Mobility” form based on your transcript and your previous LA forms, and send it by e-mail to the International Relations Office.
OLS: You must retake the OLS examination after your return. The system will automatically notify you to take this examination after the mobility end date you entered during the first examination.
Final Report Form: The document containing summary information and your evaluations of the Erasmus activity period, completed at the end of the activity. It has been administered online since 2014–2015. Once all your documents are complete, you will receive the necessary notification about the report at your e-mail address. The report must be completed online and confirmed in the system.
Feedback Form: A form containing your experiences and evaluations regarding the journey to and studies at the host university (passport, visa, travel, accommodation, etc.). This form is important in helping students who will go abroad in subsequent academic terms. It must be sent by e-mail to erasmusofisi@gelisim.edu.tr.
Academic Recognition: Academic recognition after the activity is granted for all credits earned. Page 6 of the Learning Agreement Form is used for academic recognition. The document is sent by the International Relations Office to the relevant faculty/institute/school for a Board of Directors decision.
